How to Print Labels from Apple Numbers

Apple Numbers cannot lay out label sheets, so printing labels from a Numbers spreadsheet always has two steps: export the table, then merge the rows into a label design. Export your table to Excel or CSV from Numbers, import that file into a saved PrintPiper template in your Mac’s browser, and download a print-ready PDF — Avery 5160 / 8160 sheets, address labels, name badges, or certificates.

Short version: in Numbers choose File → Export To → Excel or CSV. A .numbers file cannot be imported directly — the supported data formats are XLSX, XLS, CSV, and TSV. Your exported file stays on your device; PrintPiper renders the labels locally in the browser.

Your options from Numbers

There is no built-in label feature in Numbers. The common routes:

Pages mail merge. Pages can merge Numbers data into a letter-style document, and Contacts can print mailing labels directly for addresses already in the macOS Contacts app. These Apple-first routes work, but neither reuses a saved PDF or image design the way a label template does.

Export, then merge in a label tool. Export the Numbers table to Excel or CSV and import it into PrintPiper. The design you save once — label size, artwork, fonts, field positions — is reused for every future list, and each spreadsheet row becomes one printed label or page.

Export the table from Numbers

In Numbers, make sure the list is a single table with one header row: one column per field, such as Name, Address, City, State, PostalCode, and one row per label. Delete summary rows, blank spacer rows, and merged header cells above the real column names.

Then choose File → Export To → Excel… or File → Export To → CSV… and save the file. The export writes each formula’s current value as text, so calculated cells arrive as plain values. Postal codes that display with leading zeroes in Numbers keep them if the column is formatted as text — check the exported file in a text editor or Excel before importing.

If your spreadsheet has several sheets or tables, export the one that holds the list, or remove the rest so the import picks the right data automatically.

Save a label template in PrintPiper

Open PrintPiper and create a new template: choose Paper size — Avery 5160 / 8160 · 30 labels / sheet for standard address labels, or a preset such as Address · 89 × 36 mm, or custom dimensions in millimeters or inches. Add text fields with variables such as {{Name}} and {{City}}, using your column names so they connect automatically later. Save the template to your account.

Import, connect, and print

In the right panel, choose Import CSV / Excel and select the exported file. Pick the sheet and click the row containing your column names if asked, then connect any variables that did not auto-match. Preview a few records, choose Print-ready PDF (or PNG/TIFF), and click Generate files. When generation completes, click Download beside each part.

Print at Actual size / 100% on paper matching the exported page, and run a plain-paper test before loading label stock. Avery alignment adjustments are covered in the Avery 5160 / 8160 guide.

Numbers label questions

Can I import the .numbers file itself?

No. PrintPiper reads XLSX, XLS, CSV, and TSV data files. Exporting from Numbers takes a few seconds and keeps the values you see, including formatted dates and zero-padded postal codes.

Does this work with iCloud Numbers?

Yes. Numbers at iCloud.com has the same Export To menu, so you can export the Excel or CSV file there and open PrintPiper in the same desktop browser. The exported file is an ordinary local download — no Google or iCloud account is connected to PrintPiper.

Can I print Avery 5160 sheets from a Numbers list?

Yes. Choose the Avery 5160 / 8160 paper size, design one 1 × 2⅝ inch label, and your exported rows fill the 30-position Letter grid. A starting position from 1–30 supports partly used sheets.

What about name badges or certificates from Numbers?

The same export works for any row-based output: see the name badge guide or the certificate guide. Each attendee or recipient row becomes its own page at your saved size.

Is my guest or customer list uploaded anywhere?

No. Import, mapping, preview, and PDF generation run in your browser. The exported Numbers file, column names, and values stay on your Mac; only the saved template’s artwork and settings are stored in your account.
